A good Christmas Party demands careful planning, so make sure you do your homework and start planning now. At Transform we can make your Christmas Event a reality from initial ideas through to completion, we have a wealth of experience.

To help you get started here is a checklist to make sure you have everything covered.

  1. Set the right date and time

Venues will get booked up early so choose the time and date of your event wisely.  It is the busiest time of the year for social events and diaries fill up fast.  Send a ‘save the date’ email when the date is confirmed to ensure a good turnout.

  1. The Venue

The type of event will determine the venue options, for example, is it a daytime or night time party, wining and dining or drinking and dancing.  Understanding your target audience and how the evening is going to run is key to sourcing a venue.

Think about how the evening will evolve, do you need a separate space for pre-dinner drinks, is there going to be a dance floor or casino?

The style of the venue also makes a huge statement about your company.  If you want to be seen as cool and edgy, choose a venue with a black canvas.  If you wish to appear more established and traditional, a stately home or function room in a traditional hotel may be a better choice. Picking the right venue is key to its success.

Below is a Christmas event we did for Southampton University. They needed spaces for dancing, the bar, seating area etc so we themed each differently.  The theme of the party was Scrooge, so ‘Christmas past’, ‘Christmas present’ and ‘Christmas future.

A theme can make a massive difference by taking the stuffiness out of a corporate event and give it a little more flair.  Themes that have been popular in the past are, Alpine, Great Gatsby, a winter wonderland and traditional. A new contender for this year could be the theme ‘Frozen’ to coincide with the release of the new film in November. Why not be a trendsetter and let us plan your party?

  1.  Food

Food is a key part of any party and can easily be incorporated into the theme you choose.  Don’t feel you have to stick with turkey, but most importantly choose the food that you think will best suit who the party is for.  For example, do you want to be served at the tables, or have a buffet, will there be canapés served and will this be in a separate space. All this will affect the budget and the type of venue you pick, so you need to have a clear idea of the event before you start planning.

Here truffles are presented on candelabras, ideal for buffet type dinners where the people have started to mingle post the main course.

  1. Music entertainment and pacing the party

Entertainment can be a crucial success factor in your event.  If you don’t have a plan on how the evening will run and supply some quality entertainment, you might as well be holding it in the local pub.  By employing professional entertainers you are ensuring that they have the knowledge and expertise of entertaining the crowd ensuring the evening runs smoothly.
